Track / Series Onboarding Checklist
- Duplicate the Track or Series Build Template in Basecamp and rename it as the track or series name, then follow the to-dos as well as you can
- In the Partners folder on Box, copy the Track folder structure template and rename it to the appropriate track or series. For a track, it goes in the state folder and if the state doesn’t exist yet, you can create the state folder first.
- Create the Promoter Agreement in Pandadoc and get it signed: Instructions
- Save the Promoter Agreement to Box
- Check Stripe and the Dashboard to make sure the promoter’s account is showing correctly in both places, and check to make sure payouts are set to “manual” in Stripe – if the payout is not set to manual, it’s a clue that something went wrong in the account setup/onboarding process and Bobby will need to check to make sure the account is connected properly on the backend
- When the onboarding form is filled out properly, you should have: insurer, logo, image, schedules, links, prices, FAQs, bios, etc.
- Size the track/series logo and image per the instructions on the to-do
- Build the track or series in the app
- Publish the track / series and check all links and mapping
- Build the first few events for the track/series and make sure everything displays correctly in the app
- Let the promoter know so they give approval or request any changes
- Request welcome graphics to be created
- Follow the track/series social channels from our accounts
- Create the web story from the appropriate template, adding the promoter quote, and send to promoter for approval along with a Box link to the graphics
- Once it’s approved, post to the website using Contentful: Instructions
- Share the story to all appropriate social channels, making sure to tag the track/series in each post
- Add the track/series contact info to Bigin
- Notify the insurance broker that the track/series has signed on (especially for anyone using K&K)
- Ship the signage kit
- Do a Zoom Dashboard demo with the track/series before their first event
