Agreements

Consulting Agreement

  • Create the Consulting Agreement in Pandadoc
    • Go to Templates in the left menu
    • Open the Employee Agreements folder
    • Click on the ‘Pit Pay Inc. Consulting Agreement’ to open the template
    • Click “Use this template” button at the top right
    • Select the Pit Pay signer (make sure all info for the Pit Pay Signer is filled out)
    • Enter the info for the Consultant signer – Email, First Name, Last Name, then click “See more fields” and enter Address, then click “Continue”
    • Click the variables button in the menu just to the right of the document

    • Scroll down to the empty/highlighted ‘Consultant.Fee’ field and type the contractor’s hourly rate, then find the “Signature Page Follows” variable and type “Signature Page Follows”
    • Look through the document to make sure all the fields have been filled in properly and are aligned
      • You may have to line some of the data fields up after the data populates (drag & drop)
    • *YOU WILL NEED TO ADD/EDIT THE CONSULTANT’S DUTIES TO EXHIBIT A”
      • This is on the final page. Edit/add the text as needed by clicking on the text you want to edit. This is where you need to explain what the developer will be doing. One generic description we use for the developers if they don’t have a specific area of focus outlined is:
        • “Pit Pay / Kart Pass / Ticket Hoss software development as assigned”
    • Click “Send”, then “Send via email” and then when it asks for the document name, add ”- Consultant Name” to the end of the existing doc name.
  • Once the agreement has been signed, you can save it to Box
    • Go to “Employee Docs”
    • Create a subfolder with the new employee’s name and save the document inside of it

Proprietary Information Agreement

  • Create the Proprietary Information Agreement in Pandadoc
    • Go to Templates in the left menu
    • Open the Employee Agreements folder
    • Click on the ‘Pit Pay Proprietary Information Agreement’ to open the template
    • Click “Use this template” button at the top right
    • Select the Pit Pay signer (make sure all info for the Pit Pay Signer is filled out)
    • Enter the info for the Consultant signer – Email, First Name, Last Name, then click “See more fields” and enter Address, then click “Continue”
    • Look through the document to make sure all the fields have been filled in properly and are aligned
      • You may have to line some of the data fields up after the data populates (drag & drop)
      • On the final page, Exhibit A, all of those should be fields that are fillable by the Consultant when they sign
    • Click “Send”, then “Send via email” and then when it asks for the document name, add ”- Consultant Name” to the end of the existing doc name.
  • Once the agreement has been signed, you can save it to Box
    • Go to “Employee Docs”
    • Go to the subfolder with the new employee’s name and save the document inside of it
