Basecamp Projects

Frank can add people to any necessary projects and control who has access to all of the Basecamp projects

Most common ones will be: Tracks, Day-to-Day To-Do, WAIVERS – SOURCE FILES, WAIVERS – PIT PAY, WAIVERS – KART PASS, App Releases, and Passwords.

Tracks

This will be the most used project.

  • Track Message Board
    • Use the message board to track all important communication regarding track events – this is a good resource to refer too in case any questions come up when building events
    • Each track or series is its own message in the message board and all relevant communication is in the message thread
    • Note: The dates it shows when you look at the message list only refer to the date the message was created, NOT to the most recent update
  • To-Do List
    • The top to-do list currently is 2022 Schedules, which is where we put notes as we’re updating events for the year
    • If we need to get an existing track’s schedule built, we’ll list that
    • If we build out a track’s yearly schedule and they’ve given us their standard pricing but they’ve told us some events may have different pricing, or we see an event likely to have different pricing because it’s a multi-day event or a big series is coming in or it’s a totally different event (demolition derby, school bus race, etc.)
    • The next To-Do Lists are duplicates of the new track/series/events to-do lists at the very bottom of the list. If you onboard a new track or series, you make a copy of the track or series to-do list and then you can start going through it. We keep the newest one at the top, just below the 2022 Schedules to-do list.
    • After duplicating and renaming the to-do list template, you can work your way through it when onboarding a new track or series.

Day to Day To-Do

This To-Do List is where we keep track of Pit Pay business needs outside of anything related to the event promoters.

Examples: developer or hourly contractor invoices that Frank needs to pay, research projects, other miscellaneous business to-dos or future projects that we don’t want to lose sight of.

WAIVERS – SOURCE FILES

This project is where we drop ALL the source files (originals) for waivers we receive.

Each different insurance company or promoter-specific waiver file goes in a new folder.

This is also where the working files live. These are the Word documents that we use to take the original waiver PDF and format it for either Pit Pay or Kart Pass. The Word doc pages then get PDF’d and combined to create the waiver images that go in the app and the PDF that gets uploaded into OneSpan.

WAIVERS – PIT PAY

This project is where all the finalized waiver images and PDF live for all of the waivers we have in Pit Pay.

  • Message Board
    • We do usually keep the source files and sometimes the working docs in here as well. Mostly that’s just for convenience.
  • To-dos
    • This is where the Waiver Creation to-do list lives. You can follow this checklist when creating a new waiver to go in the app.
  • Docs & Files
    • This is where all the finalized waiver images and PDF live for all of the waivers we have in Pit Pay.
    • Each individual waiver has its own folder with the working docs, finalized PDF, and folder of images ready to be uploaded into the app.
    • It’s important to keep these well-organized as this is where Bobby pulls the condensed images from and the Image folder should be named “Images | #### – Waiver Name As It Appears in the Dashboard”

WAIVERS – KART PASS

This project is where all the finalized waiver images and PDF live for all of the waivers we have in Kart Pass.

  • Message Board
    • We do usually keep the source files and sometimes the working docs in here as well. Mostly that’s just for convenience.
  • To-dos

App Releases

  • Message Board
    • This is where the app release docs/notes are stored for each app release.
    • We haven’t historically done a very good job of keeping up with each app release and what’s in each release, but we’re trying to do better.

Passwords

This is where all the login info is stored for every service that we use across Pit Pay Inc.

If you sign up for something on behalf of Pit Pay, it’s very important to add the login information to the Passwords Message Board.

*Only high-level employees should have access to this project.

Other Projects

  • Holly” project
    • Holly is contracted to handle payouts and weekly event checks for us.
    • This project gives an example of how contracted employees could be added to Basecamp with the info that THEY need to get their assigned jobs done.
    • It also contains the onboarding docs we needed Holly to sign or to fill out to come on board (W9, Consulting Agreement, Propriety Information Agreement)
    • It also gives a spot to drop any training resources or docs she may need to reference
      • In her case, the hourly timesheet format, the Pit Pay Payouts Manual and the Dashboard Training Manual
