Transferring Passes
This can be a solution for a lot of purchase mistakes, and can be useful in the case of rainouts/cancellations as well.
Things to Keep in Mind
- The event you’re transferring people to should have a pass/ticket the same price as the one you’re transferring. If not, you should have promoter approval before you transfer.
- Transferring a large list is very time-consuming right now because we don’t have a mass transfer feature. Sometimes in this case, particularly if you’re transferring to a very close date, you can just edit the dates on the entire event to the date you would be transferring to. This works best if the event is simply postponed by a day or two, or if it’s a PP/KP event that has a new identical event within a week of the first event, that has NOT gone on sale yet or no one has purchased passes for yet.
- Drawback: Participants will NOT receive a new waiver to sign if you update the event and pass dates instead of actually transferring them.
- You CANNOT transfer MINORS without help from Bobby. He has to run a script to properly recreate the minor waiver for the next event.
How to Transfer
- To transfer a pass, you have to go to the Transactions tab, find the event and the purchaser, then select any passes you want to transfer and click the Transfer button.
- You need to know the name of the event you’re transferring people to, as that’s how you’ll search for the event in the selector to find it. You’ll select the event you want to transfer the passes to. Note: the event selector/search does NOT work very well.
- If you cannot get to your event in the selector, Bobby may have to transfer the passes for you.
- If you can get to the correct event, you’ll then select the pass from the next event that aligns with the current pass that you’re transferring and submit the transfer.
- ALWAYS verify after the transfer that both the transaction and the participant have been moved over to the next event. You should see the participants on the next event highlighted in orange because they haven’t signed the new waiver for the new event yet. And they should appear on the transaction report.
