{"id":115,"date":"2022-04-20T21:41:03","date_gmt":"2022-04-20T21:41:03","guid":{"rendered":"https:\/\/internal.pitpay.com\/?post_type=faqs&#038;p=115"},"modified":"2022-07-07T21:17:11","modified_gmt":"2022-07-07T21:17:11","slug":"communication-and-announcement%ef%bf%bc","status":"publish","type":"faqs","link":"https:\/\/internal.pitpay.com\/?faqs=communication-and-announcement%ef%bf%bc","title":{"rendered":"Communication and Announcement\ufffc"},"content":{"rendered":"\n<p><strong>Communication<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>We\u2019ve learned you\u2019ll probably need to reach out to Promoters multiple times to get them through the process.<\/li><li>After they\u2019ve filled out the form, follow up with any questions on building the track\/series or events.<\/li><li>Once their track\/series and first events are built in the app, let them know so they can look at them and let you know if anything needs to be changed.<\/li><li>Follow the Basecamp To-Do checklist for the onboarding process, as there are other pieces like getting the shipping address and assigning shipping the signage kit to someone if you aren&#8217;t the one doing it.<\/li><\/ul>\n\n\n\n<p><strong>Announcement<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Next, you\u2019ll need to grab the <a href=\"https:\/\/pitpay.box.com\/s\/8p6swgsc63z1n9hutn19lf0puwu9b0r5\">template for the web story<\/a> and fill that out with a Promoter quote and send it back to the Promoter for approval<\/li><li>Ask Frank to create web story graphic and social media welcome graphics<\/li><li>Once the web story is approved, you\u2019ll be ready to post the story to the website using <a href=\"https:\/\/app.contentful.com\/spaces\/nzx34e5hmcxi\/entries?id=pDC3g9W0FJMXj8y6&amp;order.fieldId=updatedAt&amp;order.direction=descending&amp;displayedFieldIds=contentType&amp;displayedFieldIds=updatedAt&amp;displayedFieldIds=author\">Contentful<\/a><ul><li>Log in to Contentful, you should be on \u201cPitpay website\u201d and see the other news articles in the list<\/li><\/ul><ul><li>Click on \u201cAdd entry\u201d in the top right<\/li><\/ul><ul><li>Select \u201cNews Post\u201d<\/li><\/ul><ul><li>For the slug, I typically enter the title of the story in lowercase with hyphens instead of spaces (ie. weedsport-kartway-partners-with-kart-pass-2022)<\/li><\/ul><ul><li>Copy and paste the title and subtitle from the web story into the appropriate spots<\/li><\/ul><ul><li>Select and excerpt to use that will show on the news page. I typically select the Promoter\u2019s quote for the excerpt for the standard posts to welcome a track, but for other releases it would likely be the first paragraph that would go here<\/li><\/ul><ul><li>Copy and paste the body of the release into that area and delete any extra line spaces as needed \u2013 just check all of the formatting<\/li><\/ul><ul><li>For the description, reenter the title<\/li><\/ul><ul><li>We typically have been skipping the Hero image, but uploading the web story graphic as the social image and excerpt image<\/li><\/ul><ul><li>On the social image, click on \u201cAdd media\u201d then \u201cAdd new media\u201d<\/li><\/ul><ul><li>I typically use the title of the press release as the image title and skip the description<\/li><\/ul><ul><li>Open the file selector and upload the graphic from your computer, then select \u201cPublish\u201d on the right<\/li><\/ul><ul><li>The image will appear in the social image spot<\/li><\/ul><ul><li>Enter share text for the social posts \u2013 I\u2019ll typically pull part of the promoter\u2019s quote for this and maybe add anything needed, but it must be under 240 characters<\/li><\/ul><ul><li>For the excerpt image, click on \u201cAdd media\u201d then \u201cAdd existing media\u201d and select the graphic<\/li><\/ul><ul><li>Click \u201cPublish\u201d on the right<\/li><\/ul><ul><li>Check the website and the web story to make sure everything looks ok \u2013 <a href=\"https:\/\/www.pitpay.com\/news\/\">pitpay.com\/news<\/a><ul><li>It typically takes 5-10 minutes for the article to show up on the site<\/li><\/ul><\/li><\/ul><ul><li>Make any changes in Contentful, if needed, and update the article<\/li><\/ul><\/li><li>Once the web story is finalized, post the story and social graphic\/video to the Pit Pay, Kart Pass and\/or Ticket Hoss social channels<ul><li>The logins for our social channels are in the Passwords project in Basecamp, and we typically use #mobilepitpass for Pit Pay and Kart Pass posts<\/li><\/ul><ul><li>Share the story link to Facebook and Twitter, along with the social graphics, and share the graphic to Instagram.
